Job Overview:
We're seeking a highly organized and dependable Office Manager to oversee the day-to-day administrative and financial operations of our office. This role plays a key part in maintaining a smooth and productive workplace, supporting both employees and leadership. The ideal candidate is detail-oriented, proactive, and experienced in managing office functions, including accounts payable/receivable, payroll, employee onboarding, and timekeeping.
Key Responsibilities:
Administrative & Office Operations


  • Oversee general office operations to ensure an efficient and organized environment

  • Serve as the point of contact for internal teams and external vendors

  • Maintain office supplies and equipment, and coordinate service needs as required
Accounting Support

  • Manage accounts payable and accounts receivable, including invoice processing and payment tracking

  • Reconcile transactions and support month-end reporting with the accounting team
Payroll & Timekeeping

  • Process employee payroll accurately and on time

  • Maintain and track employee timesheets, hours worked, and PTO balances

  • Ensure compliance with payroll policies and labor regulations
HR & Onboarding

  • Coordinate new hire onboarding, including setting up workspaces, tools, and orientation

  • Maintain employee records and assist with HR documentation

  • Support the team with basic HR tasks such as benefits administration or policy updates as needed
Qualifications:

  • Proven experience in office management, administrative, or bookkeeping roles

  • Strong understanding of payroll, AP/AR, and HR processes

  • Proficient in Microsoft Office Suite and accounting/payroll software (e.g., QuickBooks, ADP, Gusto, etc.)

  • Excellent organizational and communication skills

  • High level of attention to detail and confidentiality
Preferred:

  • Experience in a small to mid-sized business environment

  • Familiarity with time-tracking systems or employee scheduling tools

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
